Keep instructions in one place
Send the exact meeting address, arrival time and the camp leader’s contact details. Distinguish the meeting time from the actual departure, leaving room for handover and loading luggage. Parents will then know when to be ready.
Labelled belongings are easier to find
Suggest putting names on main bags and carrying a smaller bag for the journey. Tell the operator in advance about shared equipment or a large amount of camp material. Assess luggage space before choosing the vehicle.
Plan arrival and the return too
Leaders should know where the vehicle can stop near the camp and who will meet the group. Confirm when and where parents will collect children after the return journey. The same simple approach helps at both ends of the stay.
